Privacy Policy

This policy explains what personal data the Stock4 apps and website collect, how it is used, and your rights. It covers this website and the Stock4 trade apps — Stock4 Glazing, Stock4 Building, Stock4 Plumbing and Stock4 Electrics (together, the “Service”).

Who we are

Stock4 is a stock-management tool provided to staff of businesses that use the Stock4 system. Your employer — the business that gave you access — is the data controller for your personal data. The software is built and operated on their behalf by iCentric Systems Ltd (trading as Harbour SW Development) as data processor.

What we collect

We only collect what the Service needs to work:

• Account details — your first name, last name and email address, and a securely hashed password, so you can sign in and your actions are attributed to you.
• Work data you enter — the stock information you record: stock counts and stock takes, van stock checks, tool check-in/out and any comments or flags, stock requests, and similar business records.
• Technical data — a sign-in session token held on your device, and your app version, so the Service functions and we can support you.

We do not collect location, contacts, photos, advertising identifiers, or any data for advertising or cross-app tracking.

Demo mode

If you tap “Try the demo” on the welcome screen, the app runs on local sample data only. Nothing you do in the demo is sent to us or saved to an account.

Face ID / Touch ID

If you turn on quick sign-in, your login is stored in your device’s secure Keychain/Keystore and unlocked by Face ID / Touch ID. Your biometric data never leaves your device and is never seen or collected by us.

How we use your data

• To provide the Service: sign you in, record your stock actions, and show your business’s stock information.
• To keep your account secure and to support you if you contact us.

Legal bases (UK GDPR): performance of the contract between you/your employer and us, and our legitimate interest in running the Service securely.

Sharing and storage

• We do not sell your data or share it for advertising.
• Your data is stored on secure UK/EU-region cloud infrastructure and encrypted in transit.
• We use trusted processors only to run the Service (e.g. cloud hosting and transactional email). They act on our instructions and may not use your data for their own purposes.
• Your work data is visible within your own business’s account only; it is not shared with other businesses that use Stock4.

Retention and deletion

We keep your data for as long as your account is active with your employer’s Stock4 service. You can ask us to delete your account and its personal data at any time — contact your employer’s administrator or email support@icentricsystems.com. We will delete your personal data promptly, unless we must retain limited records to meet a legal obligation.

Your rights

Under UK GDPR you have the right to access, correct, delete, restrict, or object to our use of your personal data, and to data portability. To exercise any of these, email support@icentricsystems.com. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).

Cookies

On this website we use only essential cookies needed to sign you in and keep your session secure. We do not use cookies for advertising or cross-site tracking.

Children

The Service is a workplace tool intended for adults and is not directed at children.

Changes

We may update this policy; the “Last updated” date above will change and, where appropriate, we’ll let you know in the app or by email.
